Privacy Statement oneDOMUS

oneDOMUS processes your personal data because you use its services and/or because you have provided this data yourself. Below is an overview of the personal data that oneDOMUS processes:

• Company name, if applicable
• First and last name
• Date of birth (only if you have provided it, used solely for birthday registration)
• Address details
• Phone number
• Email address
• VAT number (only if you have provided it)
• Data about your activity on the website (stored anonymously)
• Internet browser and device type (stored anonymously)
• IP address (stored anonymously)

oneDOMUS processes your personal data for the following purposes, each based on a legal ground under Article 6 GDPR:

• To prepare and send a quote you have requested, and to provide management and support in case of problems with a product or service (performance of a contract or pre-contractual steps, Art. 6(1)(b) GDPR)
• To inform you about changes to the services and/or products (performance of a contract or legitimate interest, Art. 6(1)(b) or (f) GDPR)
• To analyse your behaviour on the website in order to improve it, and to place analytics cookies (consent, Art. 6(1)(a) GDPR)
• To register your date of birth (consent, Art. 6(1)(a) GDPR)
• To comply with legal obligations, such as the fiscal retention obligation (legal obligation, Art. 6(1)(c) GDPR)

To deliver its services, oneDOMUS uses software systems that process personal data. These fall into the following categories:

• CRM system: for keeping track of customer data and quotes
• Accounting software: for processing invoices and financial administration
• Email provider: for sending and receiving messages
• Contact form: requests are processed via an in-house service on servers in the Netherlands

oneDOMUS does not keep personal data longer than necessary for the purpose for which it was collected. For data subject to the fiscal retention obligation, a retention period of at least 7 years applies, as required by the Dutch Tax Administration (Belastingdienst). After this period, data is deleted or anonymised, unless there is a legal obligation or legitimate interest to retain it longer.

oneDOMUS shares your personal data with third parties only when this is necessary to perform the agreement or to comply with a legal obligation. A data processing agreement has been concluded with all parties that process your data on behalf of oneDOMUS. These fall into the following categories of processors:

• Hosting provider
• Accounting software
• Email provider

oneDOMUS uses Google Analytics and Google Tag Manager to gain more insight into how visitors use the website. The data is anonymised before it is stored. A data processing agreement has been concluded with Google. Analytics cookies are only placed after you have given consent.

You can opt out of cookies by configuring your internet browser so that it no longer stores cookies.

Under the GDPR you have the following rights regarding your personal data:

• The right of access
• The right to rectification
• The right to erasure
• The right to restriction of processing
• The right to data portability
• The right to object to processing
• The right to withdraw consent you have given

To exercise any of these rights, send a request to contact@onedomus.nl. To make sure the request was made by you, oneDOMUS may ask you to identify yourself. oneDOMUS will respond to your request within four weeks at the latest.

You also have the right to lodge a complaint with a supervisory authority. As oneDOMUS is established in the Netherlands, the competent authority is the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), which you can reach via autoriteitpersoonsgegevens.nl. You may also contact the supervisory authority in your own EU country of residence.

oneDOMUS protects your personal data carefully and takes appropriate measures to prevent misuse, loss and unauthorised access.
